  • Overview

    Performs various duties and essential administrative services for the President & Chief Executive Officer, and other members of the Senior Management team, with a high degree of discretion and confidentiality. Ensures coverage of Corporate Receptionist during, breaks and absences as needed.

    Responsibilities

    • Manages the office area of the President & CEO and Executive Management staff, serving as key administrator, secretary and receptionist.
    • Responsible for assisting with the physical flow of work within the Executive department, including filing, copying, scanning, handling and dispersing incoming and outgoing mail, updating records, and compiling reports. Screens telephone calls and greets visitors for CEO and other executives, as requested.
    • Arranges appointments and meetings, as requested by persons within and outside the financial institution.
    • Composes and directs written communications on behalf of senior management to various stakeholders, both outside and within the financial institution, using appropriate means including; composing mail, email, and/or postings for WSB Intranet.
    • Coordinates all activities associated with the Community Service Program.
    • Serve as point person for Casual for a Cause program; selecting organizations, distributing information and arranging meetings to distribute donations to not for profit.
    • Keeps records of charitable contributions and sponsorships. Assists with scheduling attendance & creative supporting collateral
    • Actively participates in monthly Department Head Meetings. Take and distribute Department Head Minutes.
    • Responsible for assisting Corporate Secretary in all aspects of the annual off site Planning Retreat.
    • Responsible to cover Corporate Receptionist duties daily for lunch, breaks and absences, as needed.
    • Assist in monitoring active marketing projects and compile post mortems to improve future campaigns or events.
    • Create, distribute and record post-closing Commercial and Mortgage Surveys.
    • Act as an administrator on Social Media channels and create, schedule and produce original content.
    • Responsible for all new hire onboarding in regards to CCC Committees and Community Service Program.
    • Responsible for tracking, distributing and analyzing monthly delivery channels.
    • Represents the executive by attending meetings in the executive's absence; speaking for the executive.
    • Collect and provide data support and organization to the performance evaluation process of Executive Management staff
    • Work with Management team to ensure all bank policies and procedures are up to date within the shared drive as well as on Intranet.

    Qualifications

    • High school diploma, with associates degree or higher preferred.
    • Three years or equivalent experience with administrative responsibilities.

     

    • Ability to handle matters in confidential manner.
    • Ability to prioritize and manage several projects simultaneously, coordinate necessary workflow, update and chase delegated tasks to ensure progress to deadlines.
    • Possess poise, professionalism, diplomacy, tact and teamwork and the ability to interact with people from all walks of life.
    • Expert level knowledge of Microsoft Office programs, particularly Word, Excel, PowerPoint, Outlook.
    • Proficient in maximizing use of office equipment including Copier, and Scanner.
    • Proficient in typing, proofreading, spelling, punctuation, and grammar.
    • Ability to maintain confidentiality, discretion, and good judgment.
    • Ability to work independently
    • Adaptable and versatile.
